Project task lists and templates
Managers and others with permissions enabled can see and edit a project's tasks.
Task lists and tasks are what power projects within the platform. Task lists are automated and when one task is complete, it automatically sends the project to the next task. Tasks are the individual parts of a task list that can be assigned to people to get work done.
Every project starts with a template that is chosen when starting a project by selecting a Project type in the Project brief.
Customize the Project type list by creating or editing your own Project task lists for your agency.
Once a project is created, the workflow and tasks are visible in the Tasks tab. The current workflow template is displayed at the top of the screen.
Working with the task list
There are two views for the workflow tasks: List and Calendar. The two views allow users to easily see timelines, assignees, deadlines, and hours logged.
Managing task assignments
When you build a task list and associated tasks, tasks can be automatically assigned to people on the project based on their project role like project manager or designer. Tasks can be assigned to multiple people.
Select the + button that appears when you hover on the task in the Assigned column. When you assign someone, you can choose if you want to assign that person for all similar tasks in the project.
If a team was set up, those people are automatically assigned to the task. You can edit project team roles by selecting the Project team button in the top left of the task screen.
Adding tasks
Add a tasks to any task group in the workflow by clicking the + Add task button at the bottom of a task list. The task details can be edited by clicking on the specific field, and tasks can be re-ordered by holding down the cursor on the left side of the task and dragging the task to the appropriate position.
Updating tasks
Update tasks by clicking on the respective field of the task, either in the list view or by opening the task sidebar. To update or edit a task, click on the respective field, and enter the new value.
Task updates can affect the other tasks within the list. Updates to these details will affect other tasks in the list:
- Status
- Deadline
- Assigned Hours
Removing tasks
Remove a task by clicking the ellipsis beside the task name and clicking Remove. Removing tasks will not affect the deadlines for other tasks within a task group. Removing a task also does not affect the task list for future projects.
