Overview
The project Overview tab shows overview information for a project like current tasks and project details, including timelines, owners and more.
Project details
You can edit which fields appear in the Overview tab by clicking the Show dropdown, and selecting the checkboxes for which fields you wish to see. The view will be saved for your user account.
Tasks
The open project tasks are shown under Tasks. Those with permissions to create project tasks can add tasks by clicking the + icon. Tasks created this way are not associated with the project's automated task list.
Speed
Delivery speed is determined when creating the project. Speed is a label used by both the internal and client teams to help team members understand the criticality and pace of the project.
Status
Statuses are used to ensure clarity and reduce communication burden. There are four statuses that can be assigned to a project: with agency, with client, on hold, and complete. The statuses change automatically based on which workflow task is currently in progress.
Status | Description |
---|---|
With agency | Status is based off of the current workflow task that is open. When the task in progress is on the agency side, the status will move to With agency. |
With client | Status is based off of the current workflow task that is open. When the task in progress is on the client side, (i.e. reviews) the status will move to With client. |
On Hold | Denotes projects that currently have no work in active progress. Moving projects to this status retains all of the active project information and deliverables. |
Complete | This status is for completed projects. Users will still be able to access project information, but no additional tasks can be assigned or billed. |
Archived | This status is for projects that have been completed or are no longer in progress. Users will still be able to access project information, but no additional tasks can be assigned or billed. The project is removed from the Active projects directory. |
Tagging
Tagging allows users to assign tags to projects that can be used for linking and organization of projects. Tags can be viewed in the project overview tab and you can search by tag in project search as well.
Adding a tag
Tags can be assigned by clicking the Add tag button in the project overview screen or the project side panel. There are two tag types: Client and Internal. Client tags are visible to the client, however clients can't view other agency projects linked by a tag belonging to other clients.
Searching Tags
Projects with tags can be searched in the search bar on the left side of the screen. When entering a tag in the search bar, all projects with the linked tag will appear.
Project sharing
Projects can be shared internally, as well as with client teams, from the project page by clicking the Share button at the top right. The Share button opens a popup with a list of the current team members and you can add and remove people on the team from here as well.
In the agency tab, you can see which team members have access, along with their project roles. To share the project, enter the person's email address and click the "invite" button. You'll be prompted to add any applicable roles. The available roles differ for client and agency invites.
Invite client team members
When inviting client to the project, you are prompted with the option to mark client members as Collaborators or Followers. Collaborators have edit and comment access to files and tasks, while followers simply have the ability to view the project and project documents.
Invite agency team members
When inviting agency team members, you're prompted to select the applicable roles for each agency team member. Once you enter a name, you can select their project role by clicking the three-dot button.
Link sharing settings
The Link sharing settings opens a dropdown with three options for sharing. The options are described below:
Option | Description |
---|---|
Only people on project team have access | Access is limited to the users explicitly added to the project |
Anyone at [client] with the link can comment | Access is restricted to anyone in the organization with an AgencyMAX client account |
Anyone with link can view (no login required) | The project is open for any user to view, with no login requirement. |
