The Files tab on a project contains all files, attachments, and links shared for a project. Files is a single location and simple method for downloading and managing all project files.

File Categories

In the Files tab, there are four tabs or categories of files: From agency team, From client, From chats and pins, and Archived. You can sort each tab and section by clicking the Sort button on the upper right side of the screen, below the tabs.

Groups

Under each tab, you can create groups to sort and manage files. Create a new group by clicking on + New group button on the upper left of the screen, below the tabs. A popup so you can name the group will appear.

Once you've created the group, you can select the + button in the group's tab to add files. Click on the ... button for additional actions like sending the group as a delivery, renaming, archiving, or downloading the group's files.

Click on the tab to expand or collapse the group. This will hide or show the files in that group. You can drag the group-tab to re-order groups.

Linked Projects

You can connect or link relevant projects to this project that are done by your account. Link projects by clicking the Link project button in the group actions menu and searching for the project. This will add the project in the group. This is helpful for projects that may be similar in scope or share common concepts. Linked projects are still only viewable for clients that have proper viewing permissions.

Managing a file

Files show a thumbnail (if available) for a file, along with the file name, type, size, what version it is, and when it was last updated.

Under Actions, you can upload a new version of a file if you have access to do so. Download a file or select ... to open the menu for additional actions like Move, Rename, or Archive.

Adding Files

You can add files in any of the groups by selecting the + button in the group's tab. Files added will be assigned a version number. Files added in the From client tab are inherently viewable to the client team and will be assigned V1.0, while files added in the From design team or From chat and pins tabs will be assigned V0.1 and marked as "Latest internal". Files cannot be added manually to the Archived tab.

Renaming and Archiving

Files can be renamed or archived by clicking the three-dot ... button on the right side of the screen and selecting the Rename or Archive buttons. Archived files will appear in the Archive tab. All archived files are able to be restored by clicking the three-dot button and selecting Restore.

Moving files

To move a file to a different group, select ... and Move to group. From here, select the group where you want to move the file to. You can move files from other tabs into a group with this action or create a new group and move a file to that new group.

Additional actions for a file

File previews

Control if a file can be viewed in the preview tab under the Preview column. There are three preview settings: On, View only, and Off. If the Preview is On, the file is available to add pins. View only means that people can view the file but not leave pins. By turning preview Off, a file will not be visible in the project's Preview tab.

The preview settings are only applicable for files and not linked projects, zip files, or other files that can't be viewed.

View delivery status of a file

The last column in the group shows if a file was included in a delivery. The column automatically shows the latest delivery and has a checkmark if the file was in that delivery. If there are more deliveries, click on Show all and it will show all the deliveries that have been sent and if a file was included in that delivery.

Selecting multiple files

Select multiple files with the checkbox on the left side of the file. When selected, the Selected files button appears above the groups and you can send the selected files as a Client delivery, download the selected files, or archive them. This allows you to manage files that are not in a group together.

By selecting multiple, you can Send a delivery or download selected files that are not in the same group.

Delivering files

If you select Send as delivery when selecting multiple files or under the group action Send group as delivery,
the client delivery popup will appear. On the left side are all of the files from the Files tab that will be sent in the delivery. It also shows what groups the files are in. Files can be removed from the delivery by holding down the cursor on the left icon and dragging the file to the right side of the screen under "These will not be delivered".

If a file is currently with a client, it has the label With client now since it was sent with the last delivery.

Client delivery popup

Similar to the file preview control, you can set the preview status of a file and whether the file is open for preview in the Preview tab in the Client delivery popup. You can edit the Preview settings directly from the client delivery screen by clicking on the Preview On/Off indicator. This allows you to double-check that clients can preview the files in that delivery.
